How to Plan a Trip in One Evening

Trip planning has a reputation problem. Everyone believes it takes a weekend, a spreadsheet and a personality suited to both, which is why the trip you have been meaning to plan is still a folder of saved videos and a message that says "we should actually do this."

Here is the thing the reputation misses: the research is already done. You did it on the sofa, one saved video at a time, over months. What is left is not research. It is assembly, and assembly takes an evening.

Minute zero: admit the research is done

That folder is not procrastination. Forty videos about one city is a researched trip that has not been written down. The mistake is starting over in a search bar, as if the person who saved all that had never existed.

Start from the pile.

The first half hour: empty the folder

Make a trip in Dreamfare and share the videos into it, from TikTok, Instagram, YouTube or Reddit, the same way you would send them to a friend. The places come out with their real locations. The advice with no place in it, go before nine, skip the rooftop, the terrace downstairs is the same view for free, is kept as a tip for that city instead of dying in the folder.

Paste the Reddit thread in. Paste your friend's notes from their trip. Same thing: places out, tips kept.

This is the longest part of the evening and it is mostly you deciding which videos still deserve to be in the trip. Be ruthless. The bakery you saved at 1am in November does not have to make the team.

The next minute: fold it

Give the trip your dates and fold it. This is the part that used to be the weekend.

Every stop lands as a real venue with its hours. A stop that falls when the place is closed gets moved or flagged. The gaps between stops are measured, so no day quietly crosses the city four times. If your flights are in, their times fence the first and last day, so nothing gets planned for an hour you will spend in an airport. The tips apply themselves: the market you were told to see before nine goes in at opening.

It takes less than a minute. You will spend longer choosing what to watch later.

The next hour: edit like an editor

You are no longer writing a plan. You are editing one, which is a different and much easier job.

Read the days like a draft. Drag what feels wrong. Delete what you were never going to do. Ask the planner, in the trip's chat, to swap the slow day and the museum day, or to find dinner near where Thursday ends. Each change lands in the plan, not in a text you have to act on later.

If other people are coming

Send the join link before you go to bed. Everyone who opens it lands in the same plan as an editor, and every stop can be voted on with a thumb. You wake up to decisions instead of forty messages. If the group is the hard part of your trips, there is a whole guide on that.

The last twenty minutes: book the obvious things

When the plan is settled, lock it and the booking bar appears. Each stop that needs booking becomes a checklist item with partner links, and the handoff arrives with your dates, your airport and your home currency already filled in. Book the things that were always going to be booked, the stay and the one tour that sells out, and claim them with a headcount so nobody doubles up.

When the confirmation email arrives, paste the whole thing into the trip. It attaches to the stop and marks it done.

What you did not do tonight

You did not make a spreadsheet. You did not open forty tabs. You did not type place names into a search box while a video played in the other window, and you did not lose the tip about going before nine, which was the most valuable thing in the folder.

The evening, as a checklist

  1. Share every saved video for the destination into one trip.
  2. Paste in the thread and anyone's notes.
  3. Add your dates and fold.
  4. One editing pass: drag, delete, ask the planner to fix what reads wrong.
  5. Send the join link if it is a group.
  6. Lock, book the obvious things, claim them with a headcount.
  7. Paste the confirmations in.
  8. Data plan before bed.

The short version

The weekend version of trip planning exists because the research and the plan used to be separate things, connected by typing. They are not anymore. The research is your saved folder, the plan is one fold away from it, and the rest of the evening is editing and a couple of bookings.
